We understand that a donor may occasionally make an incorrect, duplicate, or unintended donation. This Refund & Cancellation Policy explains how SATHYA handles requests relating to donations made through our website.

1. Donations

All donations made to SATHYA are voluntary and are intended to support our charitable programmes, projects, and initiatives.

Donors are requested to carefully review the donation amount, payment details, and other information before completing a transaction.

Once a donation has been successfully processed, it is generally considered final and non-refundable. However, SATHYA may consider refund requests in exceptional circumstances, including:

  • Duplicate donations made unintentionally.
  • Donations made due to a technical or payment-processing error.
  • Incorrect donation amounts caused by an apparent transaction error.
  • Any other genuine circumstance that SATHYA, at its discretion, considers appropriate for review.

A refund is not guaranteed merely because a request has been submitted. Each request will be reviewed individually.

2. Refund Request Period

A request for a donation refund should be submitted within 15 days from the date of the donation.

Requests received after this period may not be considered, except in circumstances where SATHYA determines that an exception is appropriate.

The date of donation will be considered the date on which the payment was successfully made through the applicable payment method.

3. How to Request a Refund

To request a refund, donors should contact SATHYA in writing through the official contact details provided on our website.

The refund request should include sufficient information to identify and verify the transaction, including:

  • Donor's full name.
  • Date of donation.
  • Donation amount.
  • Email address or mobile number used during the donation.
  • Donation or transaction ID/reference number.
  • Payment method used.
  • Reason for requesting the refund.
  • Any other information or supporting documents that may reasonably be required.

For card transactions, donors should not share their full card number, CVV, PIN, OTP, password, or other confidential banking credentials. If required, only limited transaction information may be requested for verification.

SATHYA may contact the donor for additional information or documentation before making a decision.

4. Review and Approval of Refund Requests

All refund requests will be reviewed by SATHYA on a case-by-case basis.

SATHYA reserves the right to approve or decline a refund request after considering the circumstances of the transaction, the status of the donation, applicable legal or tax requirements, and any other relevant factors.

A refund may not be possible where:

  • The donation has already been allocated or committed towards a specific programme, campaign, project, or charitable activity.
  • A tax exemption or donation certificate has already been issued or utilised, where applicable.
  • The donation was made through a third-party fundraising platform and is subject to that platform's refund rules.
  • The transaction cannot be reasonably verified.
  • The refund request does not meet the requirements of this policy or applicable law.

5. Processing of Approved Refunds

Where a refund is approved, SATHYA will initiate the refund through the original payment method, wherever reasonably possible.

Refunds will generally not be made in cash.

The time required for the refunded amount to appear in the donor's bank account, card account, or other payment account may depend on the payment gateway, bank, card issuer, or financial institution involved.

SATHYA will not be responsible for delays caused by banks, payment gateways, card networks, or other third-party payment service providers.

6. Cancellation of Donations

A donation can generally be cancelled only if the cancellation request is received before the donation has been processed or allocated.

Once a donation has been successfully processed, cancellation may not be possible. In such cases, the donor may submit a refund request, which will be reviewed in accordance with this policy.

For recurring donations or recurring payment instructions, donors who wish to discontinue future contributions should contact SATHYA through the official contact details provided on the website.

Cancellation of future recurring donations will not automatically result in a refund of amounts that have already been successfully processed.

7. Recurring Donations

If SATHYA offers recurring or periodic donation options, donors may request cancellation of future recurring payments at any time by contacting us through our official communication channels.

Where a recurring payment has already been successfully processed before the cancellation request is received, that payment will be treated as a completed donation and will be subject to this Refund & Cancellation Policy.

Donors are encouraged to submit recurring donation cancellation requests sufficiently in advance of the next scheduled payment date.

8. Donations Through Third-Party Platforms

Where a donation is made through a third-party payment provider, fundraising platform, event platform, or other external service, the transaction may also be subject to that provider's terms and refund procedures.

SATHYA will provide reasonable assistance in addressing genuine transaction-related concerns; however, refunds for transactions processed entirely by third-party platforms may be subject to the policies and procedures of those platforms.

9. Tax and Donation Certificates

Where applicable, donors may receive receipts, acknowledgements, or tax-related donation certificates in accordance with applicable laws and regulations.

If a refund is requested after a donation certificate or tax benefit document has been issued, SATHYA may require the relevant document to be returned, cancelled, or otherwise addressed before processing the refund.

SATHYA may decline a refund where applicable tax or regulatory requirements prevent the organisation from reversing the donation.

10. Fraudulent or Unauthorised Transactions

If you believe that a donation has been made using your payment method without your authorisation, please contact SATHYA as soon as possible.

We may request relevant transaction details and supporting information so that the matter can be investigated and, where appropriate, coordinated with the payment gateway or financial institution involved.

11. No Guarantee of Refund

Submission of a refund or cancellation request does not constitute an automatic entitlement to a refund.

SATHYA will make reasonable efforts to review every genuine request fairly and transparently. The final decision will be made based on the circumstances of the transaction, the information provided, and applicable legal, tax, and operational requirements.

SATHYA reserves the right to modify, update, or amend this Refund & Cancellation Policy from time to time.
